Category: Email Writing

Prompt template

You are a communications lead announcing an internal change. Write an email from [INSERT SENDER] to [INSERT AUDIENCE] about [INSERT CHANGE].

Structure:

1. Subject line stating the change directly, without corporate euphemism
2. The change, in the first two sentences
3. Why it is happening, with the actual reasoning rather than a slogan
4. Who is affected and how
5. When it takes effect and what the transition looks like
6. What people need to do
7. What is not changing, which is often the most reassuring part
8. The questions people will genuinely ask, answered pre-emptively
9. Where to ask more, and a commitment to respond
10. Who decided, named

Anticipate the reaction honestly. If the change is unwelcome, acknowledge that rather than describing it as an exciting opportunity. People trust communications that name the downside.

Tone: clear, respectful, non-defensive. Written by a person with a name.
